Position Summary:

 
Under the general supervision of the Center for Educational Partnerships (CFEP) Assistant Director, the incumbent is responsible for purchasing and programmatic activities/event planning logistical support. The incumbent is responsible for coordination and oversight of the full range of administrative functions and work activities which include departmental purchasing, accounts payables and requests for reimbursement, and, program activities/event planning logistics including scheduling of venues, caterers, and transportation/parking.

Skill in reading and ability to understand, apply, and explain standard policy. Working knowledge of University of California policies and procedures related to purchasing, entertainment and travel. Working knowledge of KFS. Ability to identify problems, research and analyze information, find and evaluate alternative solutions, make recommendations, implement solutions, and evaluate results. Analytical skill to interpret and apply policies and procedures relating to all administrative areas Ability to establish and maintain cooperative working relationships with a variety of constituencies, including faculty, administrators, staff, students, vendors, and the public. Working experience in ordering office supplies and monitoring records of expenditures. Skill to independently develop innovative solutions and solve problems in the context of frequent policy and program changes. Proven written and verbal communication skills, including proper grammar, spelling, and editing. Ability to write concise, logical, grammatically correct reports and procedural documents. Mathematical knowledge sufficient for basic computations. Ability to work independently and use initiative; organize and follow through with complex tasks to meet deadlines. Organizational skills; demonstrated ability to prioritize workload. Demonstrated experience and skill in providing all aspects of administrative support including calendar management, correspondence and other writing, research and compilation of various information, financial management, and office administration. Skill to interact effectively and diplomatically with campus personnel, K-12 district and school administrators, teachers, counselors and staff, and others in a public contact setting. Skill in speaking with persons of various social, cultural and economic backgrounds to provide information and explain policies and procedures. Experience working in a highly confidential environment. Ability to work cooperatively and effectively in a variety of work environments, including those involving frequent interruptions, changing priorities, and multiple deadlines. Ability to work in an environment with changing deadlines, adjust workload accordingly and meet deadlines in a timely manner. Experience utilizing standard office software including: Microsoft Word, Excel, Outlook, word processing, e-mail, and on-line systems.
