Under the general supervision of the Associate Director, Bren Events Center, the Scheduling & Events Specialist serves as the primary scheduler for all Bren Events Center and Athletics Complex activities, managing the master calendar for the department. The Scheduling and Events Specialist utilizes event scheduling software to reserve department space and resources for internal, campus and external clients. Position prepares and manages facility use agreements for department. The Scheduling and Events Specialist is also responsible for facility event services on the Intercollegiate Athletics Complex, and occasionally the Bren Events Center. Incumbent will handle coordination duties for assigned events including preparation of cost estimates and event manifests, gathering all necessary event details from clients, making appropriate changes to event set-ups as needed to ensure safety of all staff and guests and ensure that all code compliance is met. Incumbent will handle Event/Game Management responsibilities for assigned sports and/or events including client and guest relations, supervision of all staff (in-house and contracted employees), and event related issues during events and/or after all events.

Required:
 
Preferred 1-2 years’ experience in a collegiate athletic department or university campus.
Bachelor’s degree in related area and / or equivalent experience / training.
Working knowledge of concepts, principles and practices of event planning, scheduling, production and public relations within a collegiate athletic dept. or university campus Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service support. Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling. Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues / problems that need to be brought to the attention of higher level staff and / or management. Ability to troubleshoot and work through various issues that arise during variety of events. Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists. Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics. Working knowledge of NCAA rules and regulations as well as understanding of multiple collegiate and professional sports.

Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.
 
Special Conditions Required:
 
Must work some nights, weekends and holidays.
