Position Summary:

 

The Institute of Transportation Studies at UC Irvine (ITS-Irvine) is an organized research unit, established to foster research, education, and training in the field of transportation. A fundamental goal of the Institute is the stimulation of interdisciplinary research on contemporary transportation issues. ITS-Irvine research typically involves over 20 faculty associates and over 50 graduate students from The Henry Samueli School of Engineering, the School of Social Sciences, the School of Social Ecology, the Paul Merage School of Business, the School of Law, the Bren School of Information and Computer Science and the Program in Public Health. The Institute also hosts visiting scholars from the U.S. and abroad to facilitate cooperative research and information exchange, and sponsors seminars, conferences, and colloquia to disseminate research results. ITS-Irvine is part of the US DOT Pacific Southwest Region University Transportation Center, which is one of ten federally designated regional centers for transportation research and education, the USDOT University Transportation Center for Automated Vehicles Research with Multimodal Assured Navigation (CARMEN), and the California Statewide Transportation Research Program funded by the State of California. ITS-Irvine is also a member of the US Council of University Transportation Centers, (CUTC).

 

Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope. Under general supervision of the Chief Administrative Officer, the incumbent will serve as the admin officer for the Institute of Transportation Studies (ITS). The incumbent is responsible for all payroll processing as they relate to the payment of employees, including benefit and compensation issues. The incumbent serves as a contact for all payroll questions and inquiries, advising unit managers, supervisors and employees on aspects of human resources and payroll. The incumbent serves as Department Time Administrator and is responsible to ensure proper posting and processing of all monthly and hourly payroll and all special payroll actions. The incumbent works to resolve payroll discrepancies or problems in the ledgers and provide accurate data of payroll expenses. The admin officer is also responsible for the financial and administrative management of major federal and private contracts and grants, sales and service income, and various donor funds that support various research programs within ITS. The incumbent is responsible for the assigned accounts including monthly ledger reconciliation, review and analysis of expenditures, and accounting reconciliation. The incumbent independently identifies relevant factors or concerns, and formulates logical and objective conclusions to determine the course of action to successfully manage assigned accounts. The incumbent is responsible for providing specific direction to principal investigators and staff to assure compliance with recent revisions to contract and grant costing principals. The incumbent assists in fiscal closing activities and performs other duties as assigned.

 

Compensation Range:

 

$21.98- $27.78

Required:

 

Bachelor's degree and 3 to 5 years of experience in Accounting, Business Administration or related field or a combination of education and/or experience.

Bachelor's degree in related area and / or equivalent experience / training.

Ability to use sound judgment in responding to issues and concerns. Ability to use discretion and maintain confidentiality. Experience in creating financial reports for a wide-range of end-users (i.e., faculty, staff and central administrative units) and with complex funding sources. Bachelor's degree and 3 to 5 years of experience in Accounting, Business Administration or related field or a combination of education and/or experience. Demonstrates the ability to analyze financial data, draw conclusions, and make recommendations and demonstrates the ability to independently research missing or incomplete documentation. Solid organizational skills and ability to multi-task with demanding timeframes. Demonstrates skill to independently analyze situations, interpret data, define problems and/or objectives, formulate logical conclusions and implement effective solutions. Working knowledge of common organization-specific and other computer application programs. Ability to manage multiple tasks, determine priorities, and meet changing deadlines. Knowledge of basic accounting/financial principles, including understanding Generally Accepted Accounting Principles and fund accounting. Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.

 

Preferred:

 

Experience using PI reports or similar expense tracking reports, Palcard policies and procedures, honorarium guidelines, KFS transaction.
