Position Summary:
 
The Department of Art houses a multitude of dynamic paths to engage in art making. We are committed to providing students the tools with which they can create work at the highest levels of aesthetic, intellectual, and social/political inquiry. Our flexible curriculum facilitates serious engagement with painting, drawing, photography, sculpture, digital filmmaking, installation, performance, electronic art and design, art writing, critical theory, and curatorial studies within the context of an interdisciplinary approach to the study of contemporary art.
 
Under the direction of the department MSO, incumbent manages and coordinates the personnel administration, procurement, and managing the front office of the Department. Incumbent also prepares and obtains approval for contracts and agreements. In addition, incumbent may supervise limited appointment staff or student assistants. Uses skills as a seasoned and experienced administrative operations professional to manage, plan and administer the operations of a small academic department. Serve as initial department contact for faculty, staff and students.

Required:
 
At least 5 years’ experience in Department Administration, analysis and reporting.
Bachelor's degree in related area and / or equivalent experience / training.
Demonstrated skills in employee supervision and HR administration. Knowledgeable of a variety of administrative operational activities such as event planning, space planning and account management. Solid knowledge of Microsoft Word, Excel and Google Suite: PowerPoint, Adobe Acrobat. Proven knowledge and experience in Online Payroll/ Personnel actions Knowledge of University graduate and undergraduate recruitment procedures, admission requirements, and UC policies and procedures Demonstrate successful organizational skills to prioritize workload and meet deadlines when faced with multiple projects and people in limited time and resources. Skill to analyze and organize complex information and provide clear, comprehensive and complete reports based on the analysis. Substantial experience with effective written and oral expressions for the preparation of correspondence, administrative reports, policy guidelines and procedures. Demonstrate skill in financial analysis, planning, and administration of assigned budgets. Knowledge of accepted accounting practices. Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, advising and counseling. Strong oral communication skills to articulate effectively and diplomatically. Skill to use sensitivity, discretion and confidentiality in all relevant matters. Demonstrated ability to effectively multi-task and manage multiple priorities. Ability to assume responsibility for all the administration of the department, in the absence of the MSO.
 
Preferred:
 
Knowledge and experience in academic review file preparation. Skill in supervising student employees including organizing workflow, delegating responsibility and training.
