Position Summary:
 
The Department of Radiation Oncology at UC Irvine School of Medicine provides high-quality, compassionate care to those diagnosed with cancer who require radiation treatment as part of the course of their clinical management. The department is committed to advancing clinical care, education and research. Team members are highly qualified radiation oncologists, radiation biologists, medical physicists, nurses, dosimetrists, radiation therapists, medical assistants and social workers. They are certified in their respective specialties and actively involved in national organizations that develop standards of care in their areas of expertise.
 
Under the general supervision, the incumbent serves as Education and Academic Personnel Coordinator responsible for department education programs and its Academic Affairs. Education Coordinator duties are to manage and coordinate the 3 accredited Education Programs (1 Graduated Medical Education (GME) and 2 non-GME programs). Assist Program Directors (PDs) with all educational activities that support program curriculum and ensure the programs? requirements are in compliant. Contribute in planning of the program needs (e.g. development, system implementation, processes, procedures) to meet program objective. Act as a liaison among affiliated institutions, GME office, residents and the Department. Serves as a member of the education committees. Maintain and updates goals/objectives, policies materials for all education programs. Provide administrative support to the PDs. Create purchase requisitions, disbursement vouchers, & travel/entertainment reimbursements via KFS. Manage and oversee training evaluations, meeting minutes, & other correspondences. Academic Personnel Coordinator is responsible for all aspect of faculty recruitment, merits, promotion. Maintain/ update the Review Profile reports and arrange faculty recruitment using AP recruit. Accountable for Volunteer Clinical Faculty file with initial appointment, renew and separation. Work with International Center to prepare and renew visa applications for J-1, H-1, and permanent residency for faculty and academic staff. Act as departmental voting administrator. Interpret AP policies and ensure all processes are met the requirements.

Bachelor's degree in related area and / or equivalent experience / training.
Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner. Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues. Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program. Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry. Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems. Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail-oriented precision. Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
